Accessibility

Under the Equality Act it is required that exhibitors make all reasonable efforts to ensure that visitors with access needs are able to enjoy the same experience on exhibitors' stands as able-bodied visitors. This may include but is not limited to: ensuring that there is ramp access onto any platform, ensuring any signage is presented in a large font; that any printed material is available in large font or an audio version is available. Please ensure that your staff are fully briefed to the needs of your potential disabled customers.

Banking Facilities

There are two Note ATMs, one on the car park level (level 0) at N4/S4, and another located in the main boulevard between N4 and N5. There is also an ATM nearby at the Tesco Express. 

Barcode Scanners / Lead Capturing

SmartScan is an innovative app designed to simplify and accelerate the lead-capturing process at exhibitions and events. Use it to:

  • instantly capture data 
  • personalise your lead-capturing process 
  • use multiple devices
  • download reports

Business Centre

There is a shop on car park level (level 0), at the bottom of the stairs near N4/S4, which sells a range of stationery items and can also do photo copying and faxing. 

Car Parking

In order to guarantee a space, parking should be pre-booked via the website. The Venue car park only permits vehicles up to a maximum of 1.9 metres height. There are limited over-height vehicle spaces available for vehicles up to 2.8m.  


Access to the car park is only via the A13. There is no access to the venue car park from Western Gateway or Seagull Lane. If you’re using satellite navigation please enter the postcode E16 1FR for the entrance to the car park or what3words: cheer.events.began.

ULEZ

Excel London is now within the Ultra Low Emission Zone. Visit the website for further information, or use the QR code to check whether your vehicle is subject to the ULEZ charge and find out how to pay.

Carpet

Shell Scheme stands include grey carpet; Show Ready stands include a choice of carpet colour. Space only stands do not include carpet, however, it can be purchased from Full Circle.


Carpets and other floor coverings used on exhibition areas should at least be flame-retardant according to DIN 4102 - B1 and/or EN 13501-1 class C. Test certificates stating the classifications of the materials used should be kept available on stands at all times.
 

All floor coverings attached to the hall floor must be attached with an easy to remove, double-sided adhesive tape which does not leave a residue on the hall floor. Both the floor covering and the adhesive tape (including all adhesive residue) must be removed at the end of the exhibition. Failure to do so will result in the exhibitor being charged for the removal.

Catering

Please note, lunch is not included in any exhibition or conference pass, but food outlets are available at various catering points within the exhibition hall and in the Boulevard. There are free water refill stations in the Boulevard. They are located at East and West entrances and by Hall entrances S4 and S7.


All food and beverages to be consumed onsite must be purchased from the retail units or from the in-house caterer, ELH, apart from food and drink brought by individual for personal consumption only. Stand and hospitality catering at Excel London is provided by our in-house catering partner ELH. This also includes all food and drink served at a party or reception as exhibitors are not permitted to bring in their own alcohol, soft drinks, or food. 


If you would like to arrange any hospitality to be delivered direct to your stand, menu choices are varied and can be tailored to your needs. Visit the website or contact the team directly sales@excelhospitality.london to discuss your requirements. Please also see the Stand Parties section below.


A fee may be imposed on stands found not to be complying with the above.

Children

No-one under the age of 16 is permitted on site during the build-up and breakdown period, either alone or accompanied by an adult. The exhibition halls are regarded as a building-site during these times. All children under the age of 16 must be accompanied by an adult when the show is open.

Cleaning

All Shell Scheme and Show Ready stands will be vacuumed prior to the exhibition opening each day. Closed rooms will not be vacuumed unless someone is on the stand.  At the end of the first open day, please put your full bin bag in the aisle so that it can be collected by the cleaners. Please use clear plastic bags; black bin bags are not permitted. Any items left in the aisles will be considered litter and disposed of.  Exhibitors are responsible for arranging their own disposal of debris and all waste materials during build-up and breakdown.


Space Only stands do not include cleaning. Exhibitors should contact Excel London directly to order their cleaning requirements or bin hire.

Cloakrooms

Venue cloakrooms are open during event hours and are free to use. The cloakrooms cannot accept cameras, laptop equipment or any other electronic devices. No items can be stored overnight. The cloakrooms are located on level 0 (down the stairs, in between hall entrances N4 & S4) and at the east end of the venue on level 0. 

Co-Exhibitors

Organisers of large pavilions can register co-exhibitors directly with RenewableUK. Only by doing this can you ensure that your co-exhibiting company will benefit from a separate entry in the Global Offshore Wind 2025 online exhibitor list and website. Fees per co-exhibitor is £350 + VAT.

In order for us to collect your co-exhibitor details, please complete this GOW25 Co-exhibitor Onboarding Form attached by Friday 18 April. This is to confirm how many co-exhibitor profiles you would like and their details for us to send them the link to manage their own profile.


Risk Assessment should only be submitted by the main exhibitor/pavilion organiser. All exhibitors and co-exhibitors need to have public liability insurance of £5,000,000.


Co-exhibitor Access

Each exhibitor receives access to the Exhibitor Manual and login details for the HUB to allocate all tickets. Co-exhibitors only get access to the RenewableUK app for their company profile.

Delivery (new system) and Removal of Goods / Storage

All vehicles delivering to the exhibition hall must book a delivery slot.


To reduce waiting times, Excel has adopted the Voyage Control pre-show vehicle booking system for deliveries to, and collections from, the show floor. It is essential that all vehicles needing access the venue’s loading bays are booked on the Excel London vehicle booking system. This system will be in operation for build-up and breakdown.


To book your vehicle please go to excellondon.voyagecontrol.com. The booking system will open approximately 21 days prior to build-up. The system requires an up-to-date internet browser; Google Chrome is recommended. Bookings can also be made via the Voyage Control app which is available through the App Store or Google Play.

  

If the driver details or vehicle registration number are not known at the time of booking, the time slot can still be reserved, and the details provided at a later date. Please note that all details must be completed prior to arriving at the venue.


Breakdown: contractors dismantling space only stands must book a time based on when the stand is broken down and ready to load. Do not book the slot for any time before the stand is dismantled, as the driver will not be able to stay on the loading bay beyond the allotted time.


Any exhibitor or contractor vehicles that are not booked system will be denied access to the loading bay.

Couriers are not required to book a time slot for access. When they arrive, couriers will be instructed to go to a waiting area where a representative from the exhibiting company must meet them to receive the goods. 


Directions

Excel London is accessed only via Royal Albert Way. Any vehicles approaching the site from the A13 /A406 Beckton Roundabout, should exit onto the A1020 Royal Docks Road, until Gallions Roundabout. Take the fourth exit onto Royal Albert Way and continue westbound along Royal Albert Way until the Excel London Roundabout. Vehicles should then go down Sandstone Lane and into the traffic marshalling area, to await further instructions from the Excel traffic team. There is no access for event vehicles via Seagull Lane. All event traffic should use the route detailed above.

Forklifts & Storage

CEVA Showfreight is appointed by RenewableUK as the sole official logistics contractor at Global Offshore Wind. This puts CEVA in the unique position of being the only authorised company to operate forklift trucks and cranes at the show.


Storage facilities are provided by CEVA Showfreight as there are no storage spaces available in the exhibition space. For safety reasons packing materials cannot be stored behind stands; exhibitors are responsible for the daily removal of all packaging materials.

Demonstrations

  • Any exhibitors planning a working demonstration on their stand must inform the Exhibition Operations Team by 17 April.
  • Demonstration areas must be indicated on your stand plans and, where necessary, must include soundproofing within the construction of this area.
  • Plans must also show any proposed queuing and viewing areas within the stand. Organisers reserve the right to forbid working demonstrations onsite if they disturb neighbouring stands or pose a threat to the public in any way.

Distribution of Promotional Material

Promotional material may only be distributed from your stand. It is not permitted to distribute leaflets etc at the entrance to the event, in the gangways or any other part of the exhibition hall. Please note, materials must not be attached to the fabric of the building. Any costs which result from the removal of these kinds of materials will be charged to the exhibitor responsible.

  

  • When preparing printed promotional materials for your stand, consider using digital brochures that can be displayed on screens or portable digital devices at the venue.
  • When choosing merchandise for your stand, consider the materials used and the transportation distance to the venue.
  • The use of plastic is strictly prohibited at the event. This may include, for example, packaging for any merchandise, cups, or soft drink plastic bottles. The event organisers, RenewableUK, have the right to ask you to remove and cease using any plastic-based merchandise or promotional material at your stand at any point.

Electrics

The official contractor for all electrics is Full Circle. Shell Scheme and Show Ready stands will be provided with a number of electrical sockets (UK) and spotlights, depending on the size of the stand booked. Please see the Shell Scheme and Show Ready sections of the manual for further information. Additional electrics can be ordered with Full Circle. Space only stands will not be provided with electricity and will therefore have to order their requirements from Full Circle.


All electrical appliances used by exhibitors must be compatible with standard UK voltage provided by the venue. May we remind you that UK sockets will be supplied, so you may need to bring an adapter for any electrical devices you bring from outside the UK. 


As the electricity network is divided into sections the current for the respective sections cannot be switched on until all the installations in the same block have been made.


Adaptors

Multi-way plug-in type and bayonet adaptors shall not be used. The use of trailing/block type 4-way fused sockets shall be restricted to the following:

  1. One 4-way unit per fixed socket outlet, subject to a maximum loading of 500 watts total; its plug shall be fused accordingly.
  2. A maximum flexible cord length of 2 metres from plug to trailing block unit.

Emergency Gangways

The exhibition halls will have designated emergency gangways. These must be kept clear at all times throughout build-up and breakdown. All exhibitors and contractors on site are responsible for keeping these aisles clear.

Fire & Safety Regulations

Excel London has a comprehensive fire alarm system and firefighting equipment. Should an emergency arise you should take the following action:

  • If you discover the fire, break glass on the nearest fire alarm point.
  • Immediately contact a member of the Organisers, any member of Excel London or security, informing them of the nature and location of the fire.

Excel London and the organiser wish to stress the importance of a constant check being made on the contents of exhibitors' stands and rooms to see that no unidentified package, case or bag has been left unattended.  In any case of doubt, the article should not be handled - inform a member of the security staff.
 

Exhibitors and contractors should acquaint themselves with the location of their nearest firefighting equipment, fire exit and alarm point on the premises. Only tackle a fire if you have been trained, it is a very minor fire and it is safe to do so.


Fire exits should be kept free of obstruction at all times. This includes vehicle entry doors, main entrances to the exhibition halls, Boulevard exits and conference room exits. 


Excel London Fire Safety Officers will set out fire extinguishers around the hall to cover the building and catering points within the event.


Stand walls and ceilings should be made of classified fire-retardant materials, ie as good as or better than wood. Particle board, non-porous fibre-wood, plywood, etc are acceptable.


Fire-retardant materials must be approved. Approval or certificates must be available at the stand should our floor managers request them.


Packaging and other flammable material must not be stored at the stand or in the exhibition hall.

First Aid

The Medical Treatment Room is located on Level 0 (car park level) close to Boulevard entrance between S4 and N4. There is an additional First Aid room located between shutters N10 & N11, just off the Boulevard.

First Aid point will open during the official hall opening hours. If any extra hours are permitted for late working, First Aid will be extended accordingly.

Insurance

Global Offshore Wind exhibition contracts and policies require all exhibitors to have a valid Public Liability Insurance of £5,000,000, and to insure any equipment or goods that will be brought into the exhibition halls.


Please note, as an Exhibitor you are required to carry Public Liability and Product Liability Insurance. Public Liability Insurance is not the same as Employers' Liability Insurance, which is mandatory in the UK. Public Liability Insurance covers the cost of claims made by members of the public for incidents that occur in connection with your business activities. It covers the cost of compensation for:

  • personal injuries
  • loss of or damage to property
  • death.


You may already have Public Liability cover, however, it is important to note that not all business policies offer cover for organised events taking place outside your business premises.  If in doubt you should consult your insurance provider.

Internet

It is not permitted for exhibitors to bring their own wireless routers, or use mobile hotspots, as they may interfere with the venue's own network. There is a free public Wi-Fi service on the boulevard which is suitable for general browsing and email.

Lorry Parking

There is limited free lorry parking available during build-up and breakdown. It is available on a first come, first served basis.


Parking for contractor and exhibitor vehicles up to 2.8m is also available on a first come, first served basis at the cost of £30.00 per day per vehicle. 


Parking for larger vehicles may not be available on site and any requests should be directed to the Excel London traffic team. If you are unable to secure a space on site, there is off-site parking in the local area, such as Canary Wharf and Stratford.

Meeting Rooms

A number of meeting rooms are available to rent in the South Gallery (dockside) for boardroom style meetings, or mini theatre meetings.

Music / Entertainment

Please ensure that any music and commentary for demonstrations, videos, presentations etc are kept at a level that will not interfere with neighbouring stands. The Organisers reserve the right to switch off any demonstrations, videos and presentations etc that are causing a disturbance or an obstruction in the gangways.


If you propose to play music on your stand or use a TV, video or other electronic means to play sound recordings or show films, you must obtain the appropriate licences. It is the exhibitor's responsibility to obtain and pay for these licences. By law you require a licence to play music. The Performing Rights Licence and Phonographic Performance Licence can be obtained as a single licence: The Music Licence.

Neon

If you wish to use neon lighting, please contact the Operations Team. All neon installations must incorporate a fireman's switch.

Organiser's Office

The Global Offshore Wind Exhibition Operations Team will be located on site, in the Organisers Office, close to the hall entrance. The Office will be open during tenancy hours.

Passes

During build-up and breakdown, contractors and exhibitors are required to wear build-up/breakdown wristbands. Please collect as many as you need from the security personnel upon your arrival at the venue. Passes can only be collected if the Health & Safety Form has been completed for your stand.

Photography

Excel London is a privately owned estate. Under current legislation, any individual wishing to film or photograph any part of the venue, or surrounding areas, must gain permission from the landowners.

As owners of the estate, Excel London has a duty of care to ensure that any filming or photography taking place is safe and does not compromise the wellbeing of visitors. 


To apply to film and/or photograph on the Excel estate, please ensure you've read the terms and conditions, and familiarise yourself with the Excel estate and FAQs, before completing the application form.


If you wish to bring your own photographer to the event, please note their pass would need to be purchased or be from within your own stand allocation. 

Rigging

All drop wires and rigging must be arranged through Excel Exhibitor Services but is at the approval of the Organisers. Information should also be provided on any moving loads, flying performers or anything else out of the ordinary.


Maximum banner height is 6m from hall floor to the top of the banner / suspension. 


You can choose from a range of simple, off-the-shelf banner rigging packages from www.excel.london/webshop for suspending above your stand. Confirm your order by 16 May to benefit from the advanced order rate. For more complex requirements, please get in contact with the Excel London team exhibitororders@excel.london.


If you need lighting or power for your rig, you will need to contact Full Circle, the appointed electrical contractor for the event.  

Stand Manning

Please ensure your stand is manned and exhibits displayed throughout the open period of the exhibition. For health & safety reasons, and in order not to show discourtesy to late visitors and other exhibitors, no dismantling of exhibits may begin until the exhibition closes and the halls are clear of all visitors on Wednesday 18 June.

All stand receptions need to be approved by the organiser and must be hosted within the official opening hours of the event. Exhibitors should manage their catering orders directly with the official, exclusive catering provider. Details can be found in the Catering section above.

Stand Security

Whilst every reasonable precaution is taken during the show to ensure the premises are adequately patrolled, the Organisers of the event (RenewableUK) and the venue (Excel London) expressly disclaim responsibility for any loss or damage to property of any exhibitor from any cause.
 

To help ensure good security at the show, please follow these points:

  • Make one member of your team responsible for your company's safety and security at the exhibition.
  • Do not leave cash, handbags, mobile phones, valuables etc in unlocked drawers, cupboards or on exhibits on your stand.
  • Do not leave wallets in unattended clothing.
  • Check all lockable desks and cupboards are locked before leaving your stand.
  • Please note, build-up and breakdown days are high-risk periods. You are recommended to work in pairs so that the stand can be manned at all times.
  • Make sure you arrive prior to the official opening time and do not leave your stand at night before the hall is clear of visitors.
  • Should you have small valuables, which you wish to leave on your stand, you are advised to provide yourself with lockable steel cabinets or other safe storage areas.

Storage

All rubbish and packing must be removed from your stand before the show opens. It must not be stored on or behind your stand during the show. Empty case storage is available from CEVA Showfreight.

Waste Removal

Exhibitors and their contractor must remove from the premises any packing materials and other waste brought into the hall, and all waste materials arising from the construction or dismantling of stands. Alternatively, bins can be hired from the venue. Please contact Excel London's Venue Services team directly. 


Excel London have introduced new waste streams to help exhibitors separate waste at its source, making recycling more efficient and effective. 


The new waste streams include: 

  • dry mixed recycling (DMR)

  • general waste (non-recyclable waste) 


These waste containers will be managed by our onsite Waste Ambassadors. They are here to assist and will consult with you if there are any questions or concerns about contamination, ensuring that waste is correctly sorted, and the new system runs as smoothly as possible. To maintain the efficiency of these waste streams, additional charges will apply when containers are deemed significantly contaminated: 

  • £149 per contaminated container 
  • £50 per food waste bin 


The exhibitor will be invoiced for any standfitting materials and / or carpet waste left in the halls at the end of the event.


At the end of the first open day, you may put bagged rubbish in the aisle so that it can be collected by the cleaners. Any items left in the aisles will be considered litter and disposed of.
